A sample waybill for a month and the procedure for filling it out

Each company that operates both trucks and cars (own or rented) must draw up waybill on them. Now we will analyze everything about the waybill that you need to know.

Why do you need a waybill

For a representative of the accounting department, the answer to the question “why a waybill is needed” will be simple and unambiguous - to confirm the production orientation of the costs that are associated with providing this vehicle with fuel and lubricants. And this is logical.

After all, a waybill is a document of primary documentation for recording and monitoring the work of the driver and the transport itself, it also confirms the operation of the transport, its departure and consumption of fuels and lubricants.

This document will confirm the route on which the transport will move, and it is often used by entrepreneurs of all levels.

With it, you can track whether the driver deviates from the assigned route, and whether the work vehicle is used for its own purposes. So there is a primary control over the movement of transport of the enterprise.

This provision is also spelled out in law, where the position of the mandatory availability of a driver's waybill is clearly stated, so at the first request of law enforcement officers, it must be provided with the rest of the required set of documents.

In the absence of an appropriate document, the driver will be subject to administrative punishment (clause 2 = art. = 12.3 = Code of Administrative Offenses of the Russian Federation).

According to federal law 259, all enterprises involved in the transportation of people, baggage and goods are required to issue waybills:

by tram;
to the trolleybus;
a car;
freight car.

If the business activity does not provide for the provision of such services, the company must issue a power of attorney for the driver to operate the vehicle.

In the absence of either a waybill or a power of attorney from the driver, such being behind the wheel of this vehicle is illegal.

Important! The power of attorney confirms the right of the driver to operate the transport, and the waybill also confirms the designated route.

Waybill Forms

This information is displayed in the resolution issued by the State Statistics Committee of the Russian Federation of 1977 No. 78, and defines the following forms:

light vehicles - No. 3;
special-purpose vehicles - No. 3 special;
passenger taxi - No. 4;
freight vehicles with payment for transportation at a piece rate - No. 4-C;
freight transport with an hourly rate - No. 4-P;
bus - number 6;
non-public bus - No.: special;

Important! The waybill journal form also has its own special number - 8.

How long does it take to get a ticket

Everything here depends on the number of the waybill form. So form No. 3 - only for a period of not more than one working day or one working shift.

However, a longer period can be issued only if the driver is sent on a business trip. This is indicated in Decree No. 78. But Decree No. 152 prescribes the execution of a waybill for up to a month.

From this we can conclude that an enterprise not engaged in transportation of any format has the right to issue a waybill within one calendar month.

Important! In the case of the expiration date of the waybill, the vehicle is operated in shifts by different drivers - different waybills are issued for each of them.

Penalty for not having a waybill

The penalty for the absence or improper execution of a waybill is prescribed in the second part of Article 12.3 of the Code of Administrative Offenses and amounts to 500 rubles. Perhaps the fine will not be issued, but only a warning will be issued.

The register of waybills form No. 8 can be either paper type or electronic. It directly depends on what system the accounting is kept at the enterprise.

This document displays all information about waybills of all forms and types. Waybills in this journal are numbered according to the through type.

The physical expression of the journal is performed in the form of a title part, on which the accounting period is noted and a tabular part, which consists of:

waybill numbers;
date when the waybill was issued;
personal data of the driver;
personnel number of the driver;
garage number of transport;
the signature of the driver, indicating the receipt of the waybill;
signatures of the dispatcher with the date when the waybill and driver's documents were accepted;
signatures of the accountant with the date of acceptance of the waybill by him;
notes.

Name and number.
Validity period - the full date should be marked here, indicating both the month, year and day of both the beginning and end of its validity.
Data of the owner of the transport - if it is a legal entity, then the name, data on the organizational and legal form, location, contact details; if this is a private entrepreneur, then full name, registration data and contacts.
Transport information:

vehicle type;
vehicle model;
data on the trailer, semi-trailer, indicating the model and type of device, its license plate;
car license plate data, state standard;
speedometer data, marking the segment from the moment of departure and return to the garage;

Driver details:

Personal Information;
date with a temporary indication of the medical examination of the driver both before and after the trip;

In the case of issuing a waybill in form 4, behind it there must be data on the orders that the driver accepted and carried out.

Usually it is in a tabular form, the first table displays data on the name and address of the order, the second - the route of movement with the obligatory indication of taximeter data, time, amount of payment, place of dispatch and delivery. And be sure to indicate the person who authorized the trip.

Important! It is allowed to have additional details on the waybill, if they are directly related to the activities of the enterprise.

for one vehicle must be issued as many waybills as drivers operate it;
in the field name indicate data about the type vehicle (example, tram waybill);
waybill numbers go accordingly adopted at the enterprise and is affixed next to the name;
seal and/or stamp put in the title;
dating with exact time exit and entry are affixed by the dispatcher or other authorized person;
dating with exact time medical examination before the trip and after the trip plan is made by the medical worker of the enterprise;

expiry date of the waybill equal to 5 years;
