One of the non-material ways to celebrate the merits of an employee is to express gratitude to him. This procedure has its own characteristics - from the application and issuance of an order for encouragement to an entry in the work book. For what achievements employees are praised and how to write gratitude for good work (sample), you will learn from the material.

In what cases is it appropriate

Art. 191 Labor Code of the Russian Federation provides for the right of the employer to reward employees for good work, achievement of high results or other merits. The list of achievements for which you can praise, the company sets itself, for example, in the regulation on remuneration or regulation on encouragement. This list may include:

  • achievement of high production results or overfulfillment of the plan;
  • successful participation in events to promote products (exhibitions and sales, conferences, presentation seminars);
  • high productivity due to rationalization solutions or process improvements;
  • any other outstanding labor merits and achievements.

It should be noted that employees of other organizations can also be thanked for their cooperation. For example, by sending a thank you letter to the company. If there is a desire to clarify the names of those people who distinguished themselves, you can send a petition to their employer indicating the reasons for the promotion. How to issue

To encourage the employee or not, his immediate supervisor decides. He addresses the head of the organization with a proposal to praise the subordinate for his work. To do this, you need to write a petition, a memo or a letter. The order of gratitude will be drawn up precisely on the basis of such a document.

Since there is no established form of appeal, it is drawn up arbitrarily. The request might look like this:

The main requirement for this document is that it should be clear from it who distinguished himself and how. The date of compilation and information about the applicant must be indicated.

In the case when representatives of another company offer to encourage employees, they draw up their application on the letterhead of the organization and also list who and for what they want to thank.

If the authorities agree to the encouragement, an order is issued in the T-11 form, approved by the Decree of the State Statistics Committee of Russia dated 01/05/2004 No. 1. If the organization abandoned the unified forms, its own document is used. But it must contain all the necessary details:

  • information about the company-employer;
  • information about the employee;
  • a description of the achievements of the employee for which he is encouraged;
  • date of the document and the signature of the head.

Like any order, the decision on promotion must be brought to the attention of the employee against signature. You can also acquaint his colleagues with the contents of the document (that is, do it publicly if there is the consent of the employee).

Features of the declaration of gratitude at the state level

If an employee has distinguished himself so much that he was noticed by regional or federal authorities, then the head of the organization or a representative of the authorities (for example, an official or a deputy) draws up an application for encouragement. On the official website of any authority, there are special sample documents used when an outside employee is encouraged. Entering information in the work book

According to paragraph 24 of the Decree of the Government of the Russian Federation of April 16, 2003 No. 255, personnel officers enter in a special section of the work book information about the award (encouragement) for merit, if the employee:

  • he was awarded state awards, he was awarded a state honorary title;
  • awarded with a certificate of honor, diploma, badge or badge, or he was awarded some title by the employer;
  • encouraged in another way provided for by law, collective agreements, internal labor regulations, charters and regulations on discipline.

Taking into account the last point, an entry is made in the work book about any encouragement - both from the state and from the employer. At the same time, in the local regulations of organizations there may be clarifications about what other types of incentives appropriate notes will be made. These can be, for example, letters of thanks from third-party organizations, entering on the honor roll.

A special section - information about awards - should be filled in in accordance with clause 4 of the resolution of the Ministry of Labor of Russia dated 10.10.2003 No. 69. An example entry is below.

If an additional cash bonus is paid, this should be stated both in the order and in the entry made in the work book. The bonuses provided for by the wage system are not indicated. This is clearly stated in paragraph 25 of Government Decree No. 255.

How to announce

Companies are not required to hold festive and solemn events regarding the announcement of gratitude to one or more employees. But if this is accepted in the organization, then a distinguished employee can be congratulated among colleagues by presenting a specially printed in the printing house form of gratitude, signed by the management. If no celebrations are planned, congratulations are conveyed in an informal setting.

Content

Any employee can receive a letter of thanks from the organization, such gratitude is expressed in case of good work. This is a business document containing words of gratitude, and the reason is different: quality service, a job well done, successful cooperation, assistance or assistance. A non-commercial business letter is addressed to one person or a whole team.

What is a thank you letter

An individual person or a team can receive a letter of gratitude. This emphasizes the importance of people, their merits. Such a letter may be a response to a congratulation or invitation. A letter of gratitude meets all the requirements of a business style, it has the main parts: a document header, an appeal, the main text, the paper is accompanied by the signature of the head, and a seal is put. A letter of thanks is considered a business document, but some deviations from the rules are allowed here. The header is specified if necessary, it is an optional element. It contains information about the person (or people) to whom gratitude is expressed. Below is the appeal. Then words of gratitude are placed, which consist of template phrases. And at the bottom left, a signature should be put with the basic data expressing gratitude: the full name, the title of the position are indicated. All this is often done on letterhead on behalf of the head.

What do you express gratitude for in a letter?

The design of the thank-you note is done for a job well done, assistance, support. If people financially sponsored or were suppliers of equipment, furniture, and other necessary things, they can be sent thanks by e-mail for their help expressing deep gratitude with warm words that will cheer up the addressee and encourage new good deeds.

For conscientious work

Some people devote many years to their work, they put all their efforts, they work conscientiously. They thank the employee of the organization with such a letter, it must indicate the name and patronymic of the person, how much he worked in the organization, what were the merits during this time. Compose a text that will mention the personal and professional qualities of the person, the projects on which the person worked. The purpose of a thank you message is to please a person, to raise his strength to a new level, so it is important to write it correctly.

Gratitude for work

The immediate supervisor should write a thank you note to the employee, and then sign it. In the text, they write an appeal both to one person and to the whole team of the company. An expression of gratitude in business letters often follows how some help was provided to a company or a specific person by another organization or individual. Help is expressed in moral support, organization of any event. Often help comes in the form of sponsorship funding for a company or person in their new project.

This type of letter is very common, it is sent to people both within the company itself and to various business partners, it can be given at the official delivery. Sample structure:

  • Dear (name, patronymic)!
  • We highly appreciate working with your company. We are well aware that we owe our success, first of all, to the companies offering our services, to successful cooperation with you. We wish you and your company success and prosperity!

For sponsorship

Very often, companies express their gratitude to their sponsors for their help, support, while writing a letter is similar to all previous options:

  • Dear (name, patronymic)!
  • The administration of [institution name] expresses its gratitude for the sponsorship provided in organizing the regional competition of children's creativity. The successful implementation of this socially significant project would not have been possible without your participation.
  • We wish you health, interesting ideas and their successful implementation, further prosperity of the company.

Thank you letter rules

A letter of thanks is an official style document, so it has clear standards, filling rules:

  1. The cap is located at the top right, but options are allowed without it.
  2. There must be an appeal either to one person or to a group of people.
  3. The main part consists of formulaic, standard phrases that are built on compliments and warm words.
  4. At the end of the letter, there must be a signature of the person who compiled this paper. In this case, the name and surname are indicated, there may be a mention of the position, a personal signature is put.

Appeal

This is a mandatory element that is present in any official paper. Since a letter of gratitude is a document, there is always an appeal, often accompanied by the word “respected”. A person is referred to by their given name and patronymic, rarely a surname can be added. If gratitude is sent to the whole team, then they write “dear colleagues (name of organization)”.

Details of the letter

Details can be presented in a letter at a minimum: only the name of the organization, the position of the person who draws up the document. But there is an option when the details are specified in great detail:

  • name of company;
  • position expressing gratitude;
  • organization address;
  • telephone number, fax number of the organization;
  • TIN / KPP, other important details;
  • date of;
  • thank you number.

Information about the compiler

This paragraph of the letter does not take up much space. At the end, the position of the person expressing gratitude and his name are simply indicated. Maybe even a signature. In some cases, they write in detail: the name of the organization, the position occupied by the thanking person, his full name and abbreviated signature. If the letter is intended for parents, then the position is not needed, just the name is enough.

How to write gratitude correctly? Due to the fact that written gratitude is an official document, its content is always formulaic. It necessarily includes standard phrases about expressing gratitude. The personal qualities of the people to whom this letter is sent are emphasized. Standard phrases are perceived as mandatory, but people are still pleased to receive such paper.

A letter of thanks is not included in the list of mandatory documents that make up the enterprise document management system. But the design of thank-you letters is necessary to show your respect and appreciation to employees, managers, business partners. Making a thank you letter

It is a mistake to think that only money or valuable gifts are regarded as a worthy reward for conscientious work or partner services rendered.   • showing personal respect and fair evaluation of merit;
  • a motivating factor confirming that the efforts expended, conscientious attitude to duties did not go unnoticed;
  • competitive advantage.

The latter is especially important. Indeed, if we are talking about gratitude expressed to business partners, after you issue it in a letter, you may well expect to receive additional preferences. As psychologists note, expressed praise and gratitude make a person, albeit unconsciously, but try not to disappoint the one who thanks.

If a thank-you letter is written for “internal use”, for example, when a manager wants to express gratitude to one of the employees, or vice versa - employees express gratitude to the manager, special thank-you forms can be used.

Form design

Such an artistically designed form of a thank you letter, colored, on thick paper, can be purchased at an office supply store. As a rule, the central field of such a form is left empty so that it can accommodate the text for a letter of thanks.

Such a form will need to be filled out by hand in a beautiful, clear handwriting, or you can choose a font in a text editor that resembles a handwritten one. But, of course, the person or persons on behalf of whom the gratitude will be written will have to put their own signature under the text.

In the case when a letter of thanks is drawn up on behalf of the organization and sent to the address of an individual or other enterprise, a corporate letter is used to design it. In this case, the letter of thanks is issued in accordance with GOST R 6.30-2003 “Unified Documentation Systems. Unified system of organizational and administrative documentation. Requirements for the execution of documents”, entered into force on March 3, 2003.

The rules for issuing a letter of thanks on the letterhead of the organization imply filling in such mandatory details as:

  • full and short name of the organization;
  • information about the addressee - the name of a particular company or the surname, name and patronymic of the individual to whom the gratitude is sent;
  • appeal to the addressee: "Dear Sirs!" or "Dear colleagues!", if the addressee is a legal entity or "Dear Ivan Ivanovich!", if the addressee is an individual;
  • thank you text
  • signature of the head of the organization and its transcript.

To avoid excessive officialdom and emphasize personal disposition, you can choose an artistically designed envelope to send such a letter.

Thank you letter text

You can compose the text of a thank you letter using the following algorithm.

  1. Indicate on whose behalf gratitude is expressed, for example: “Alfa Limited Liability Company”, “Alfa LLC Management” or “On behalf of the Alfa LLC team and on my own behalf, I want to thank you for ...”;
  2. Indicate to whom gratitude is expressed: “On behalf of Alfa, I want to thank the entire staff of your organization ...” or “Alfa LLC expresses gratitude to your company ...”;
  3. Specify what exactly gratitude is expressed for, trying to avoid generalizations and general, non-binding phrases;
  4. Mark successes or professional competences of the addressee, his experience and knowledge;
  5. Express your wishes and hope for further cooperation.

Subtract the finished text of the thank you letter and, if necessary, correct it. Please note that its volume should not be large, as a rule, no more than half of a standard sheet. It is advisable to check the text for the absence of grammatical and lexical errors. If you are not very sure that you managed to express your feelings of gratitude convincingly and sincerely enough, you can show the letter to colleagues and adjust the text in accordance with their comments.

Thank you letter to an employee

Such a letter should contain as much personalized information as possible so that its text does not look like a formal reply. In addition to a personal appeal, an informal approach can be demonstrated by mentioning specific achievements, personal qualities of an employee. There may be several reasons to express gratitude in a letter to an employee, they can also be mentioned in the text:

  • for many years of conscientious work;
  • for special achievements in professional activity;
  • for participation in any event as a representative of the company;
  • in connection with retirement.

A letter of gratitude to the head, as a rule, is written on behalf of the team of the enterprise or one of its divisions. In this case, the letterhead is no longer used, so the text should be written on a beautiful, but strictly designed special artistic letterhead.

The fact that a letter of thanks is written to the head should not mean that its text should be dry and official. It all depends on the leadership style of the company and its organizational culture. But at the same time, no familiarity is allowed.
